Main purpose of role:

To carry out and support administration and logistics tasks associated with the Hazardous Waste Division, and to assist with other areas of the business as and when required

Duties & Responsibilities:

  • To deal with incoming calls / site visitors in a polite, efficient, and friendly manner
  • Create and provide all documentation/labels in relation to waste collections/deliveries in a timely manner and in accordance with legislation.
  • Support the logistics operations to move waste and products to reach destination on schedule and any variances to be communicated immediately to the customer / destination sites.
  • To provide clear instructions/routes to drivers, planning the optimal route to each collection/delivery site where required
  • Manage optimal scheduling of waste collections to provide best value for the company.
  • To ensure good communication with all internal and external stakeholders
  • To monitor the services of suppliers in the sales/logistics department to improve overall customer service; audit when necessary and relate findings to suppliers.
  • To prepare quotes and provide sales support to all customers
  • To deal with account queries and to respond to same in a timely and efficient manner
  • To assist in the classification of waste and management of documentation including certificates of disposal/recovery.
  • To provide data verification and to input data on to our Waste Tracking System in a timely and efficient manner.
  • To complete all end of month paperwork and accounts accruals in a timely manner
  • Assist with customer service integration across all Enva sites

Additional

  • To communicate any issues that arise to the Sales Administrator Supervisor and Business Manager
  • To carry out additional/ miscellaneous administrative/reception duties
  • To prepare and submit weekly and monthly reports as required
  • To attend site meetings, training etc. as required
  • To participate in cross training and assist in other areas when required i.e. holiday cover
  • To suggest & implement improvements to increase the efficiency of the administration and logistics department

  • To act courteously and communicate effectively with customers, suppliers, Enva personnel and other personnel encountered within the role
  • To foster and develop good customer and public relations at all times and to portray a professional image of the company
  • To report for work in a timely manner and to conduct work as scheduled to company and customer satisfaction
  • To work within the instructions and procedures of the Company‚Äôs systems as directed by your Manager or other management as appropriate
  • To conduct all duties in a constructive and productive manner aligned to the interests of the company and management
  • To act diligently and professionally in the interests of the Company
  • To demonstrate a willingness to promote positive development of the business to all stakeholders of the business including customers but also extending to staff, contractors, EPA, HSA etc
  • To demonstrate the company values at all times ( i.e. Flexibility, Action, Customer Driven, Trust and Teamwork)

Qualification/ Skills/ Experience Required:

  • Leaving Certificate minimum
  • Working knowledge of MS Office packages & experience of working with computerised systems
  • Experience in a busy customer service or logistics department a distinct advantage
  • Experience in the Chemical/ Hazardous Waste Business would be an advantage
  • Excellent attention to detail and accuracy
  • Strong communication and interpersonal skills.
