Transport Administrator

Administrator – Transport - The Role:

To assist the transport planning team with the smooth running of the daily transport operation, this includes date request upkeep, debrief cover, maintaining up to date and accurate information regarding all satellite depot collections carried out that day and production of departmental KPI’s.
To be the point of contact for customer services enquiries to deal with them in timely manner and/or to escalate these to the appropriate personel.

Administrator – Transport - Key Responsibilities:

  • To manage day to day interaction between Customer Services and planning team.
  • Assist the Planning Supervisor in the review and development of the debrief / transport information.
  • Support the Transport operation in regard any administration function in line with the departmental requirements.
  • Coloration and production of dept Service / compliance KPIs.
  • Action Date request emails and reply to Customer service within agreed SLA.
  • Check all driver paperwork to ensure accuracy and signatures are correct.
  • Monitor the satellite depot tank systems and advise artic transport planner / planning supervisor of any necessary action. 
  • Working with the customer service department, review customer orders, priority orders and SLA’s.
  • Monitor and action the “short frequency schedule” daily to ensure collections scheduled are not missed, includes moving on jobs when required.
  • Assist transport planner to manage on time calls.
  • Any other duties required to effectively complete the role.

Knowledge, Training, Experience, Technical and Personal Skills:
Required

  • Previous administration experience.
  • Good geographical knowledge of mainland UK.
  • Experience of using IT customer order systems and Tachomaster.
  • Excellent written and verbal communication skills and strong telephone manner.
  • Excellent numerical skills.
  • Excellent attention to detail.
  • Confident in dealing with customers / suppliers over the phone and on email.
  • Positive and motivated with flexible and adaptable attitude.
  • Problem solving and solution focussed ability.
  • Well organised and self-disciplined with the ability to work quickly and calmly under pressure.
  • Strong interpersonal skills with the ability to develop effective and positive working relationships within and outside of the department.
  • Must demonstrate high levels of integrity and adopt a professional approach in all interactions – should be transparent, open and honest in all dealings.
  • Ability to be flexible and adapt to changing situations and / or systems. 
  • Good conflict resolution skills based on a ‘Can do’ attitude.
  • A flexible attitude to the team’s work, including a willingness to reprioritise and undertake additional tasks if required.
  • Friendly personality and team player.
  • Strong PC and technical knowledge and skills with an excellent working knowledge of the Microsoft packages including Word, Excel and Teams.
